Property Manager
Duty Statement
Property
Owned properties:
- Assist the SAO (Senior Administrative Officer) in managing owned properties, including working to secure land titles and other matters.
Liaise with government agencies on properties issues
Leases:
- Manage all property leases for the embassy in consultation with the SAO
Liaise with landlords on more complicated issues that can not be dealt with by the occupants.
- Liaise with landlords on all issues with respect to office leases
- Assist the SAO in securing new property leases as required
- Monitor the local property market
Maintenance:
- Liaise with Facilities Managers and landlords as required to ensure properties are maintained to a good standard.
Inventories:
- Maintain the inventory database for all furniture and fittings held by the embassy (including all agencies)
- Ensure A-Based occupants sign off on furniture inventories at the beginning and completion of their postings
-Ensure A-Based staff complete the residential inspection form on occupation and departure from any residential property
- Undertake stocktakes of residential properties furniture and fittings at least once during each occupants posting.
- Undertake stocktakes of office furniture and fittings annually.
Gardening:
- Manage the gardeners and gardens at the chancery.
Procurement:
- Assist and manage the procurement of furniture, office equipment and other services.
- Ensure property related files are maintained and up to date.
Physical Security:
- Assist the Post Security Officer with the maintenance of all physical security measures.
- Act as the embassy liaison point with the guarding company, particularly with Lao management and the guards.
- Ensure individual guards understand their role at the embassy
- Ensure that the guard company inform you of new staff
- Ensure security related files are maintained and up to date.
Transport:
- Manage the embassy vehicle pool, ensure vehicles are correctly maintained and their useage is consistent with embassy and departmental guidelines.
- Manage vehicle bookings
- Assist the SAO with procurement process for any vehicles
- Manage the DFAT drivers, ensure leave is taken and adequate coverage is always in place.
- Ensure transport related files are maintained and up to date.
Other duties as directed.
